Reply to new leads. Reconnect with the quiet ones.
We set up and manage automated follow-up: prompt first replies to new inquiries, messages when conversations stall, and check-ins with eligible older leads.
When a homeowner is interested, we pass the conversation and project details to your team to arrange an estimate.
↗The follow-up, made visibleIllustrative service flow · not a live system
1
The starting point
A homeowner asks about a patio cover.
A fresh inquiry—or an older conversation worth revisiting.
2
EstimateRelay follows up
“Thanks for your inquiry. What are you hoping to build?”
Prompt replies for new leads. Relevant check-ins for older ones.
3
The conversation develops
Follow up if needed. Ask the project questions agreed with your team.
↗
The handoff
An interested homeowner. Useful context.
Your team takes over to arrange the estimate and quote the work.

01 / Where we help
Two places follow-up slips. One service to keep it moving.
You’re on a site visit. A new inquiry comes in. Meanwhile, last month’s conversations are still sitting in your inbox. Both need a next step.
↗Speed to lead
For the homeowner who just inquired.
A new lead should hear back while the project is still on their mind. We set up an automatic first reply and an agreed follow-up sequence, rather than leaving the inquiry waiting for a quiet moment in your day.
Acknowledge the new inquiry.
Ask the agreed project questions.
Follow up when there’s no reply.
Pass interested responses to your team.
The next step: your team arranges an estimate.
↻Lead reactivation
For the conversation that went quiet.
Some homeowners put a project on hold. Others never got to the estimate stage. We review eligible older inquiries with you, then follow up to find out whether there’s still a project to discuss.
Review which inquiries can be contacted.
Send a relevant check-in.
Find out whether the project is still of interest.
Pass interested responses to your team.
The next step: the same clear estimate handoff.
02 / What actually happens
From “I’m interested” to your team’s next conversation.
This is the homeowner journey we build around your business. The exact messages, response targets and handoff are agreed before follow-up begins.
01
The inquiry enters the follow-up process.
A new inquiry comes from a source you already use, or an eligible older inquiry is selected for a check-in. We review the source and connection needed during setup.
Example starting point
“We’re looking for a patio cover. Could someone get in touch?”
02
The homeowner gets a relevant message.
New leads get an initial acknowledgement and a useful question. Older leads get a check-in about the project they previously asked about.
Example first reply
“Thanks for asking about a patio cover. Which area is the property in?”
03
The conversation gets followed through.
We ask the basic project questions you’ve agreed, follow up if there’s no reply, and record the homeowner’s response. A “not now,” a “no,” or an opt-out changes what happens next.
Useful project context
Project type. Service area. Intended timing. Whether they want to discuss an estimate.
04
Your team takes over with context.
We pass along the interested response and the details gathered. Your team confirms the next step, arranges the estimate or site visit, and quotes the work.

Here’s what the follow-up could look like.
Two illustrative message threads. Follow each path from the first message to the handoff, including what happens when the homeowner doesn’t reply.
Path A / New inquiryA new patio-cover lead comes in.
Illustrative messages · not actual customer activity
Initial reply
Hi, thanks for your patio-cover inquiry. Which area is your property in, and what kind of space would you like to cover?
Homeowner
We’d like to cover our back patio. We’re in the area you serve and hoping to start later this year.
Follow-up question
Thanks—that helps. Would you like the team to get in touch to discuss an estimate?
Homeowner
Yes, please.
↗
Passed to your teamHomeowner’s interest, project type, location and intended timing—ready for your team to arrange the next step.
If there’s no reply: use the follow-up sequence agreed with you, rather than treating the initial message as the end of the process.
Path B / Older inquiryAn older pergola inquiry gets revisited.
Illustrative messages · eligibility reviewed before contact
Relevant check-in
Hi, you previously asked about a pergola. Is that still a project you’re considering?
Homeowner
Yes. We put it on hold, but we’re looking at it again.
Next-step question
Is it for the same property? And would you like the team to contact you about an estimate?
Homeowner
Same property. We’d like to discuss it.
↗
Passed to your teamRenewed interest, the original project context and the homeowner’s request to discuss an estimate.
If there’s no reply: follow the agreed sequence and stopping rules. If the answer is “not now” or “no,” record it and change the next step. The aim is a useful conversation, not repeated unwanted messages.
04 / Who does what
We manage the follow-up. You handle the project.
EstimateRelay is a managed service. We handle the agreed setup and follow-up. Your team stays involved where its knowledge and decisions are needed.

We’ll review your existing tools and inquiry sources before agreeing what can be connected.
05 / Getting started
Start with one part of your follow-up.
You don’t need to change everything at once. A pilot can focus on new inquiries, a suitable group of older leads, or an agreed combination.
01
Map the gap.
Tell us how inquiries arrive, who follows up today, and where conversations get stuck.
02
Agree and test the setup.
Choose the inquiries, channels, messages, project questions and handoff. Test the agreed flow before follow-up begins.
03
Run the pilot. Review the replies.
Follow up within the agreed scope, review responses and estimate requests, and decide together what should happen next.
Let’s look at your follow-up.
In your email, tell us what you build, how new leads reach you, and whether you have older inquiries to revisit.
Pilot scope, response targets, duration and commercial terms are agreed before work begins.
No. We set up and manage the agreed automated replies and follow-up process. Your team provides the business knowledge, approves the approach, and takes over interested conversations to arrange estimates.
Is this only for old leads?
No. Speed to lead and older-lead reactivation are both part of the offering. We can scope a pilot around new inquiries, eligible older inquiries, or both.
How quickly will a new lead get a reply?
Prompt first response is a core part of the service. The response target depends on your inquiry source, the agreed channels and the setup we test with you. We agree the target before launch.
Will you book estimates directly into my calendar?
The starting scope is to identify interested homeowners and pass their details and project context to your team. Your team arranges the estimate. Any calendar or direct-booking workflow would need to be separately agreed and tested.
Do we need to replace our CRM or other tools?
We start by reviewing what you already use and where inquiries come from. We confirm the connection and workflow needed before agreeing the pilot.
Will messages go by text, email or another channel?
We agree the channels with you during scoping, based on your records, homeowner permissions and the setup needed. The examples above show message content, not a particular connected channel.
Can every older inquiry be followed up?
No. We first review eligibility, contact permissions and any previous opt-outs. An old inquiry on its own doesn’t automatically establish permission for every type of follow-up.
What if the homeowner isn’t interested?
Their response changes the next step. We agree how to handle “not now,” “no,” and opt-outs before follow-up begins. An inquiry isn’t a guaranteed estimate or sale.
EstimateRelay by AU Systems and Labs
New lead. Quiet lead. A clear next step.
Let’s put the follow-up between the inquiry and the estimate into a process your team can use.
